Start with a job, not a technology plan
A small business does not need to automate everything at once. A safer starting point is a narrow job with clear inputs, repeatable steps, and an obvious point where a person must decide. The goal is not to make an AI worker sound autonomous. The goal is to make its responsibilities understandable.

A person should take over when the request is ambiguous, high-risk, or outside the service rules.
2. Estimator: structure the scope before judgment
An estimator is especially useful when a business receives recurring requests for quotes. It can gather measurements, materials, location, timing, exclusions, and other required inputs. It can organize the scope and prepare a draft for review. It should not invent missing facts, approve exceptions, set final prices without authorization, or send a binding commitment on its own. 3. Follow-up manager: keep agreed work moving
A follow-up manager can track open conversations, remind a team member about the next step, and draft or send approved follow-ups. 4. Operations assistant: coordinate, do not redefine
An operations assistant can summarize information, prepare checklists, surface missing items, and suggest the next action. It should not alter records, approve spending, change schedules, or contact outside parties unless those actions are specifically authorized.
