Start with a role, not a general-purpose assistant
The safest first AI worker is not the one that promises to do everything. It is the one with a narrow job, clear inputs, repeatable tasks, and explicit limits. A small business can begin by asking: what should this worker do now, what should it ask before doing, and what must it never do autonomously?
That distinction creates a practical authority map. For each task, place the action in one of three groups: **do_now**, **ask_first**, or **never_autonomous**. The map should be specific enough that a person can review it without guessing.
Four bounded roles to consider
**Receptionist:** An AI receptionist can answer routine questions, collect contact details, explain basic business information, and route a request to the right person. It should ask first before promising availability, changing an appointment, issuing a refund, or handling an unusual complaint. It should never autonomously make commitments that create legal, financial, or operational exposure.
**Estimator:** An AI estimator can organize the information needed for a quote, identify missing measurements or job details, and prepare a draft estimate for review. For a contractor or specialized trade, this can be a useful first role because the boundary is visible: the system prepares the estimate, while an authorized person approves pricing, scope, exceptions, and final commitments. Start by reviewing whether an AI estimator fits the quotation flow you already use.
**Follow-up manager:** This worker can track open conversations, draft reminders, and suggest the next contact based on the status recorded by the business. It should ask first before offering discounts, changing terms, or escalating a sensitive situation. A person should retain control over commitments and relationship decisions.
**Operations assistant:** An operations assistant can turn approved information into checklists, summarize updates, flag missing steps, and prepare internal handoffs. It should not independently change payroll, purchasing, access permissions, or other high-consequence records.
Build supervision into the rollout
Begin in observation or **Shadow Mode**, where the proposed work can be evaluated before autonomous action. Move selected workflows into **Project Mode**, measure outcomes through an **Outcome Loop**, and reserve the **Autopilot Queue** for actions that have already earned a clear approval boundary.
For company-level continuity, xYz has a **Business Brain** that keeps company context and evidence. Its **Authority Map** separates do_now, ask_first, and never_autonomous actions. xYz also publishes a machine-readable **Business Passport** and **Agent Gateway**. For agent communication, it supports authenticated P-256 messaging with replay protection, consent envelopes, and exchange receipts.
The goal is not maximum autonomy. It is a useful worker whose decisions are understandable, reviewable, and limited to the job. To explore your business, including whether an AI Estimator fits your current quoting flow, analyze it with the team at https://aibyxyz.com/.
