Start with a job, not a general-purpose employee
The safest first AI worker is usually responsible for a narrow, repeatable part of the business. It should have a defined source of information, a small set of permitted actions and an obvious point where a person takes over.
Four roles are especially useful starting points:
1. Receptionist
An AI receptionist can help answer routine questions, collect details and route a request to the right person. Its boundary should be clear: it may share approved information and capture intent, but it should not promise availability, change a customer record, approve a refund or make commitments that have not been authorized.
2. Estimator
An AI estimator can organize the information needed for a quote, identify missing details and prepare a draft estimate for review. For a specialized contractor, this can be a practical first worker because the role can be tied to a defined service scope and pricing rules. The safe boundary is that it does not invent measurements, override pricing policy or send a final commitment unless the business has explicitly allowed that action.
3. Follow-up manager
This worker can track which conversations need attention, prepare reminders and draft messages based on approved context. It should not pressure a customer, alter a deal stage without a rule or negotiate terms on its own. A person should remain responsible for sensitive or ambiguous conversations.
4. Operations assistant
An operations assistant can organize tasks, summarize activity and surface exceptions. It may prepare work for a team, but it should not silently cancel jobs, change payroll-related information or make decisions that affect safety, compliance or customer commitments.
Put authority in writing
A useful control is an authority map with three categories: do_now, ask_first and never_autonomous. This makes the role's limits visible before the AI handles real work. Start in Shadow Mode to observe behavior, then use Project Mode for a defined workflow. An Outcome Loop can help review results, while an Autopilot Queue can hold approved work for execution rather than letting every action happen immediately.
xYz's Business Brain keeps company-level context and evidence. Its machine-readable Business Passport and Agent Gateway support structured business and agent communication. Where agents exchange messages, xYz supports authenticated P-256 messaging with replay protection, consent envelopes and exchange receipts.
The practical test is simple: can you explain what the worker may do, what it must ask and what it can never do? To explore whether an AI Estimator fits your quoting flow, analyze your business at https://aibyxyz.com/.
